Job Description: We are looking for a Senior Executive Assistant to join Prospect and assist two members of our Senior Management Team. In this role, you will be responsible for providing administrative assistance to Deputy General Secretaries (DGS) to help them carry out their duties more effectively. The ideal candidate will have experience working in an organisation of a similar size (>250 employees), and a passion for working for a Trade Union.

Key Responsibilities:

  • You will provide administrative support for the DGS’s, including diary and email management, organising team and individual meetings, and providing reports on data from the case management system.
  • You will be responsible for organising travel, accommodation and managing the processing of invoices and expenses
  • You will lead on the administration of a range of union activities; including arranging internal and external meetings, conferences and events, preparing and distributing committee papers and drafting and circulating minutes.
  • You will be a key point of contact for two busy departments, being comfortable and able to communicate with a range of internal and external stakeholders will be crucial.

Essential Knowledge, Skills and Experience:

  • Experience working with senior stakeholders and senior managers.
  • Demonstrable strong IT skills, including use of Microsoft 365 including Outlook, Teams, and Office Applications, with the ability to pick up new digital platforms quickly
  • Demonstrates comprehensive administration skills with excellent attention to detail.
  • Shows good organisational skills and the ability to prioritise workloads and meet deadlines.
  • Demonstrates excellent interpersonal skills

Desirable Knowledge, Skills and Experience:

  • Previous experience working within a Trade Union or membership organisation
  • Previous experience of handling confidential information and working in compliance with GDPR legislation.

You will also receive annual incremental salary steps until the maximum (£41,872) is reached.
