Job Description: We are looking for a Senior Legal Assistant to join our legal team. In this role, you will oversee the smooth running of the union’s personal injury scheme, complaints process and other legal services alongside the General Counsel/Head of Legal.  You will provide day-to-day administrative support to our team of solicitors and barrister, supporting their work advising members on employment law and with employment tribunal claims. 

Key Responsibilities: 

  • Supports the General Counsel/Head of Legal in running the office and team by efficient execution of their duties. This may include: diary management; arranging meetings; answering the telephone; responding to correspondence and e-mails 
  • Working with the Head of Legal to proactively manage our legal services contracts with external law firms, including dealing with issues arising from the provision of legal services, ensuring the smooth running of our personal injury scheme, dealing with member queries & complaints, and liaising with our external lawyers
  • Managing the union’s complaints process; triaging complaints as appropriate and ensuring the complaints policy is adhered to
  • Keeping records of the legal team’s expenditure and producing reports as required. 
  • Checking and submitting invoices and managing legal subscriptions
  • Providing direct administrative support to Legal Officers (Solicitors and Barrister), including diary management; filing and archiving; organising meetings
  • Providing support to Legal Officers with preparing cases for tribunal hearings, including collating lists of documents, producing document bundles, requesting medical records etc.
  • Contributing to legal team communications by updating guides, website pages and providing information by way of briefings and updates
  • Note taking (team meetings; meetings with members; conferences with counsel; tribunal hearings)
  • Updating member case management system and preparing reports from case management data
  • Monitoring legal team inbox and team inboxes as required

Skills and Experience: 

  • Ability to work proactively, self-managing time and workload
  • Ability to capture detailed information and input data
  • Ability to liaise with members/customers directly and sensitively
  • Experience with diary management
  • Experience handling confidential information and ensuring compliance with GDPR legislation
  • Experience working within a legal or compliance environment is desirable
  • Experience working within a Trade Union or membership organisation is desirable.
